CODA statements
Where the CODA statements and bank transactions of a company file come from, how to view them, download them and check the cash position.
CODA is the Belgian standard format for electronic bank statements. In NovaFisko, the Bank tab brings together the bank transactions of the company file and the original CODA files, sorted by financial journal.
Where the bank data comes from
| Source | What arrives in the company file |
|---|---|
| Novadesko | The shop's bank transactions (bank sync or the shop's CODA files), the CODA files and the justifications already made by the shop. |
| File import | A CODA file uploaded by hand: the file is archived with the data of its header (IBAN, statement number, balances, period, number of transactions). |
| Codabox | Direct connection coming soon. Your Codabox contract remains yours. |
Today, the transactions to reconcile come from the Novadesko sync. A CODA file imported by hand is recorded as a statement (viewing, balances, download); the automatic creation of its transactions in the Bank tab is coming soon.
Importing a CODA file by hand
- Open the Integrations tab of the company file.
- Enable the File import connector if it is not enabled yet.
- Click Import and select the CODA file (extension
.codor.coda), of 10 MB at most. - NovaFisko recognises the format, archives the file and reads its header.
- The statement appears in Bank, in the CODA statements area.
If the IBAN of the statement is not linked to any financial journal, a journal and its bank sub-account (5500xx) are created automatically, with the name of the bank and the last four characters of the IBAN in the label.
The same file uploaded twice is recorded only once: it is recognised by its content.
Viewing the statements
The CODA statements area of the Bank tab expands and lists the files, from the most recent to the oldest.
| Information | Description |
|---|---|
| Statement no. | Number of the statement given by the bank. |
| Journal | Financial journal linked to the IBAN of the statement. |
| Period | Dates of the first and last day covered. |
| Balance | Opening balance and closing balance. |
| Transactions | Number of transactions in the statement. |
To retrieve the original file, click Download CODA file. The file is returned as it was received: you can import it again into other software or archive it.
The journal filter of the Bank tab also applies to the statements: choose a journal to see only the statements of that account.
Reading the transaction list
Below the statements, the transaction table shows for each line:
| Column | Content |
|---|---|
| Date | Value date of the transaction. |
| Journal | Financial journal of the account, or "Account not linked". |
| Counterpart | Name of the counterpart and its IBAN. |
| Communication | Free or structured communication. |
| Amount | Positive for money in, negative for money out. |
| Justification | Item linked by the shop: Document, Internal transfer, Loan, Supporting document, VAT return, or "Unjustified". |
| Reconciliation | Matching proposal and its confidence level. |
| Status | To process, Booked or Ignored. |
The filters To book, Matched, Unmatched, Booked, Ignored and Unjustified narrow the list. The search field covers the counterpart, the communication and the description.
Checking the cash position
The Cash card of the Trial balance tab shows the total of the banks and cash accounts of the company file. To check one account in particular, compare the book balance of its bank sub-account (550000, 550001...) with the closing balance of the last CODA statement of that journal.
For each financial journal, NovaFisko can compute:
- the book balance of the bank account;
- the last statement balance known and its date;
- the number and amount of pending transactions;
- the difference between the last statement balance and the book balance.
This cash position per journal is already available through the API; its display in the Bank tab is coming soon.
As long as transactions are pending, a difference is normal: it corresponds to the payments that are not booked yet. When all the transactions of a period have been processed, the difference must be zero.
A difference that remains when no transaction is pending any more points to a bank entry posted twice by hand, a transaction wrongly ignored or a missing statement. Compare the statement numbers: they must follow one another without a gap.
Ignoring a transaction
A transaction that must not be booked (duplicate, operation cancelled by the bank) is set aside with Ignore. It takes the status "Ignored" and leaves the Quality checks. Restore puts it back to "To process". A transaction already booked cannot be ignored: reverse its entry first.
Check the IBAN of each financial journal in Journals. It is what links the transactions and the statements to the right journal; a transaction marked "Account not linked" cannot be booked.
