First company file

Create an accounting file, understand what NovaFisko prepares automatically and check the result.

A company file contains the full accounts of a company: chart of accounts, VAT codes, journals, third parties, fiscal years and documents. On creation, NovaFisko prepares the essentials so that you can start entering data immediately.

Creating the file

  1. From the list of files, click New file.
  2. Choose the Managing firm if you manage several. With a single firm, it is selected automatically.
  3. Choose the Country: it determines the country pack (chart of accounts, VAT, journals).
  4. Search for the company by name or VAT number to prefill the record (see CompanySearch detection), or fill in the fields manually.
  5. Fill in the Code (short identifier of the file, for example DUPONT), the Company name, the Enterprise no., the Form, the VAT regime and the Fiscal year.
  6. If possible, enter the Main account IBAN: it will be attached to the financial journal.
  7. Click Create file.
Field Rule applied
Code Letters, digits, hyphens, 20 characters at most. Converted to upper case.
Enterprise no. Modulo 97 check for Belgium. An incorrect number is refused with the message "Invalid enterprise number (modulo 97 check)."
VAT number Derived from the enterprise number if left empty (BE followed by the ten digits).
VAT regime Monthly, Quarterly, Franchise or Exempt for a Belgian file.
Fiscal year By default the current calendar year. You can enter a non-calendar or extended fiscal year.
Warning

Creation can be refused if your plan has reached its limit of files. On the Starter plan, the limit is 15 files. See Licence and pricing.

What NovaFisko prepares

Creation runs the following steps in a single operation.

  1. VAT codes. All the codes of the country pack are copied into the file, with their grids. See Belgian VAT codes.
  2. Chart of accounts. The PCMN of the Belgium pack is loaded (more than 600 accounts), with labels in the language of the file. The most common expense and income accounts receive a default VAT code.
  3. Journals. Six journals are created, plus one financial journal per bank.
  4. Fiscal year. The fiscal year is created with its periods: opening period 0, one period per month and closing period 99.

If you later add a bank account, for example when importing a CODA statement whose IBAN is unknown, a new financial journal and its 5500xx sub-account are created automatically.

Checking the file

  1. Open the file: the sidebar shows the current fiscal year.
  2. Open Settings to check the company details and the VAT references.
  3. Open Journals to adapt the labels or add an invoice book.
  4. Open Trial balance: it is empty and balanced, the file is ready.
Tip

Taking over a file in the middle of the year? Enter the opening balance as a miscellaneous operation, in the OD journal.

Editing or deleting a file

The company details are edited from the Settings tab. The country pack cannot be changed after creation. A deleted file is still billed for the current month: a file that was active for at least a moment during the month counts for that month.
